promotly.in (“promotly”, “we”, “us” or “our”) is a marketing communications platform operated by Givni, based in India. This policy explains what personal information we collect, why we collect it, and the choices you have over it. It applies to our website, our web application, and the email, SMS and WhatsApp messages we send on behalf of our customers.

1. Information we collect

We keep the amount of personal data we hold deliberately small. We collect:

Account information — your name and email address when you register, plus a phone number and company name if you choose to provide them.
Contact data you upload — if you are a promotly customer, the recipient lists you import (typically names, email addresses and phone numbers) so we can deliver campaigns on your instruction.
Message and delivery records — the content of campaigns you send through us and the resulting delivery, bounce, complaint, open and click events, which we need in order to operate the service and protect our sending reputation.
Billing information — where you purchase a paid plan, the transaction records returned by our payment provider. We do not store full card numbers on our servers.
Technical information — IP address, browser type and access timestamps, recorded in server logs for security and abuse prevention.

We do not knowingly collect sensitive personal data such as financial account credentials, health information or government identity numbers, and we ask that you do not upload such information to the platform.

2. How we use your information

We use personal information only for the purposes below:

To provide the service — creating and securing your account, delivering the campaigns you schedule, and making delivery reports available to you.
Service notifications — transactional messages such as password resets, billing receipts, delivery failures, security alerts and material changes to the service. These are part of running your account and are not marketing.
Marketing emails — occasional product updates, feature announcements and offers. Every marketing email we send carries a working unsubscribe link, and you can opt out at any time using the methods in section 6.
Support — responding to enquiries you send us.
Safety and compliance — detecting abuse of the platform, honouring bounce and complaint feedback from mailbox providers, and meeting our legal obligations.

3. We do not sell or rent your data

We do not sell, rent or trade personal information to anyone, and we do not share it with third parties for their own marketing purposes.

We share data only with the service providers that make the platform work — for example our cloud hosting provider, our email, SMS and WhatsApp delivery providers, and our payment gateway. These providers process data solely on our instruction, under contract, and only to the extent needed to perform their function. We may also disclose information where we are legally required to do so by a valid order of a court or competent authority.

Where you are a promotly customer, the contact data you upload remains yours. We act as a processor for it: we use it to deliver the campaigns you configure and for nothing else.

4. How long we keep it

Account and campaign records are retained for as long as your account is active. If you close your account we delete or anonymise your personal data within 90 days, except where we are required to retain records for tax, accounting or legal purposes.

Suppression records — the addresses that have unsubscribed, bounced or filed a complaint — are kept indefinitely by design. Retaining them is the only reliable way to guarantee that an address which has opted out is never contacted again.

5. Requesting deletion of your data

You may ask us at any time to give you a copy of the personal data we hold about you, correct it, or delete it entirely. Write to info@promotly.in from the email address concerned, or with enough detail for us to identify the record, and we will action the request within 30 days and confirm in writing once it is done. There is no charge for this.

If you ask us to delete your data we will also add your email address to our permanent suppression list so that no future campaign can reach it.

6. Opting out of email communications

You can stop receiving email from us in any of the following ways:

Use the unsubscribe form on this site — enter your email address and you will be removed immediately. No account or login is needed.
Click the unsubscribe link in the footer of any email you have received from us.
Email info@promotly.in and ask to be removed.

Opt-out requests take effect immediately. Once an address is on our suppression list, our system blocks any further send to it before the message reaches our delivery provider. Note that if you have an active account we will still send you essential transactional notices, such as billing and security messages, because they are necessary to operate your account.

7. Cookies

We use cookies for a small number of purposes:

Strictly necessary cookies — a session cookie and a CSRF token cookie, which keep you signed in and protect forms against cross-site request forgery. The service cannot function without these.
Preference cookies — remembering choices such as your language selection.
Analytics cookies — where enabled, we use analytics to understand which pages are used so we can improve them. This data is aggregated and is not used to build advertising profiles.

You can block or delete cookies through your browser settings. Blocking strictly necessary cookies will prevent you from signing in. We do not use cookies for third-party advertising or cross-site tracking.

8. Security

Traffic to and from the platform is encrypted in transit using TLS, passwords are stored only as salted hashes, and access to production systems is restricted to authorised personnel. No system can be guaranteed completely secure, but if a breach ever affects your personal data we will notify you and the relevant authorities without undue delay.

9. Children

The service is intended for business use and is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us and we will delete it.

10. Changes to this policy

We may update this policy as the service evolves. The “Last updated” date at the top of this page always reflects the current version, and we will notify account holders by email before any change that materially reduces your rights takes effect.
